2.1 Account Information
Information is required from you to create an account to use our services, such as your Company address, name, email address and contact telephone number. We also collect personal information about you when you contact us through our website. You may provide us with your name, telephone number, email address, postal address together with other personal descriptions which will be retained by us and managed in accordance with this policy.
The above information will be held on our systems located at our premises or those of an appointed third party.
2.2 Payment Information
You will need to provide us with information such as Company name and address, contact name and telephone number, account numbers and references for setting up payment methods, invoicing, administrative purposes and credit referencing. The information will be held in our systems, which are located on our premises or those of an appointed third party.
3 Information we receive from the use of our Services
3.1 Website
We use tracking software to monitor customer traffic patterns and site usage to help us develop the design and layout of the site to better meet the needs of visitors to our website. We collect technical information from your computer such as your Internet Protocol (IP) address, your operating system and platform, browser type, browser version and referrer website whenever you visit our website. This information is also used for Security monitoring to protect our website.
3.2 Tablet and Mobile Applications
We collect data from devices when completing forms using the mobile router, tablet and phone applications. Depending on how you use our service we will collect GPS location information, telephone number, username and password and data completed on the forms.
All mobile and tablet applications are available to download from various app stores or can be obtained directly from the Support team. By installing our application on your device, you are accepting that you wish to transfer digital pen, tablet or mobile data from the handset to the Bantham Technologies server. In this instance Bantham Technologies is not the data controller and the responsibility of protecting the data completed on the digital form remains with the user, but that Bantham Technologies is the data processor and will adhere to the regulations in processing the data.
4 How we use your Information
4.1 Provide and Maintain the Service
Using the information we collect, we are able to deliver the Service to you and honour our contract with you. For example, we need to use your information for invoicing, sending applications, maintaining our databases and to provide Customer Support.
4.2 Communicate with you
We use your information when required to send you service notifications and respond to you when you contact us. We will need to communicate with you in these circumstances in order to provide you with the Service as per your contract.
Provided you have given written consent we will also use your information to promote new features or products that we think you may be interested in.
5 How Information is Shared
We will not share your personal information except in the limited circumstances described below.
5.1 Upon Request
You may request your information to be shared with a third party at any time when required to provide the service. We would require written consent to share any information and this would need to detail the reason for the request. The request for information to be shared will be stored on your account until such point that we receive written notification to end communication or upon termination of contract.
5.2 External Processing
We transfer information to our corporate affiliates and service providers who process it for us based on our instructions and in compliance with this policy and any other appropriate confidentiality and security measures. These partners are necessary to ensure that we can provide a service to our customers.
5.3 For legal reasons
We may disclose information about you to comply with a law, regulation, legal process, or governmental request or to prevent, detect or investigate illegal activity, fraud, abuse, violations of our terms or threats to the security of the Service.
6 Consent and Access to your data
We provide you with account settings and tools to access and control your data and users. You have several legal rights with respect to your information and your user profile allows you to exercise these rights in the following ways.
6.1 Accessing and Exporting Data
Within you user profile you can access your personal information which includes email, phone, forename, surname, username and ability to change your password. Administrators of your account also have the ability to provide different levels of permissions for the users they have on their account and these levels can control access to other user’s information, form data, ability to edit data and deletion of data. The responsibility of the user permissions lies with the customer as the main administrator.
6.2 Editing and Deleting Data
Administrators and user’s have the ability, based on their assigned permissions, to log into their user profile and edit or delete any information that is not mandatory for the use of the service. When a user is deleted their account with be permanently deleted at this point and cannot be retrieved.
6.3 Request that we stop using your Information
In some cases, you may ask us to stop accessing, storing, using and otherwise processing your information where you believe we don’t have the appropriate rights to do so. For example, if you believe an account was created for you without your permission or you are no longer an active user, you can request that we delete your account. You can request for your information to be deleted by contacting us on the email provided within this Policy.
7 Data Retention
We keep your company account information including main contact name, address, email address, billing information and user details for as long as your account is active. Users and administrators may delete their user profiles as and when required and this responsibility lies with the customer.
Form data is stored for a period of 7 days or unless specified otherwise in your contract and will be deleted permanently after this period.
Following termination of contract account information will be held for a period of 30 days after which point this will be deleted permanently.
8 International Operations
We store data with our hosting providers and we have locations in Ireland, UK and US. These providers allow us to process data and provide a service to our customers. The information on these servers is then accessed from the location in which the user is connecting to Bantham Technologies.
Should any customers have specific requirements regarding the location of where the data is stored they may request this during the proposal period and consideration will be subject to the terms of the agreement between both parties.
9 Our Policy towards Children
Our Services are not directed to individuals under 16. We do not knowingly collect personal information from children under 16. If we become aware that a child under 16 has provided us with personal information, we will take steps to delete such information. If you become aware that a child has provided us with personal information, please contact us on the email below.
10 Changes to this Policy
We will notify you before we make material changes to this policy and give you an opportunity to review the revised policy before deciding if you would like to continue to use the Services.
